Summary

Provides administrative and/or clerical support generally to the Fleet Maintenance department. Works under moderate supervision. May seek the advice of more advanced staff.

Hours of work: Generally, 8:00 a.m.-5:00 p.m. as scheduled by management with 1 hour lunch. Overtime may be scheduled as needed and directed by management.

Days of work: Normally Monday-Friday as scheduled by management and weekends/holidays if needed and approved by management.

Principal and Essential Duties & Responsibilities

Answers phone including fielding questions, re-directing calls and taking messages.

Communicates with customers, associates and others to answer questions, address complaints and explain information.

Maintains general company record systems to uphold accurate files.

Assist Warranty Manager with reporting and data entry.

Work with Department of Motor Vehicles to renew and/or replace tags, licenses, permits etc.

Utilize company maintenance software to monitor and report preventative maintenance schedules, assist in purchasing and receiving data entry

Assist with fuel reporting, invoicing and data entry.

Assist Regional Fleet Managers and Maintenance Director as needed.

Other administrative duties as assigned.

Minimum Education

High School Graduate

 

Experience Requirements

2 -4 years related experience.

Knowledge of standard software applications; such as Microsoft Word, Excel, Access, PowerPoint.

Excellent communication and organizational skills.

Environmental Factors and Physical Requirements

Normal climate-controlled office environment. Able to move freely throughout the facility. Able to communicate on the telephone and use standard office equipment. May be exposed to noise ranges of 50 dB to 110 dB.  Must wear and use protective and safety equipment required for the job as directed by the Company.
